THE DEPARTMENT

At Anisa International, the office of the CEO sets the standard for business functions ensuring that all operations pertaining to the CEO and the overall organization run smoothly. This includes providing strategic guidance, supporting business processes and procedures, administrative assistance, coordinating corporate philanthropic efforts, organizing company events, and more. This team is pivotal in maintaining effective decision-making and streamlined workflows within our company.

We are seeking a Senior Executive Assistant to the CEO who can architect, elevate, and seamlessly manage the administrative and project management needs of the Chief Executive Officer across her daily endeavors for our global business, D to C brands, and philanthropic ventures.

This position serves as an administrative right hand to the CEO and will be responsible for collaboratively conveying the CEO’s vision and voice, both within the organization and externally. Managing the flow of information and acting as both a gatekeeper and a gateway for the CEO by facilitating connections with stakeholders while also creating space for the CEO to focus on the broader, long-term company vision, will be critical in this role.

POSITION RESPONSIBILITIES

Strategic Management

  • Proactively manage the CEO's calendar, ensuring meticulous attention to detail and optimal organization of meetings, appointments, and events.

Communication and Liaison

  • Serve as the primary liaison between the CEO and internal/external stakeholders, ensuring effective and timely communication, while also safeguarding the CEO’s time to focus on strategic initiatives,

Event and Culture Advocate

  • Partner with the CEO to design and implement culture-building events that strengthen the organization.

Administrative Excellence

  • Provide comprehensive administrative support at all levels, including database maintenance, and managing sensitive information with the utmost confidentiality and discretion.

Project Coordination

  • Coordinate with team members and external partners to ensure seamless execution of projects, maintaining accountability and supporting the delegation of tasks from the CEO.

Brand Ambassador

  • Craft compelling presentations that reflect the CEO’s and company’s brand, and represent the CEO in crucial communications, fostering key relationships within and outside the organization.

Office Operations Oversight

  • Supervise the Office Administrator to ensure smooth office operations, oversee maintenance projects, manage office-related expenses and budgets, and maintain standard operating procedures for office operations and overseas travel for remote staff, consultants, and clients.

QUALIFICATIONS

  • 7+ years of experience as a collaborative Executive Assistant or related administrative role supporting C-Suite executives required.
  • BS/BA degree (or equivalent) required.
  • Excellent administrative and organizational skills with the ability to exercise good judgment, discretion, and initiative.
  • Is proactive and accountable; delivers on all requests, assignments, projects, etc.
  • Highly experienced with managing an executive calendar, expense management, and travel coordination.
  • Ability to manage and maintain sensitive and/or confidential information.
  • Excellent written and oral communication skills.
  • Must be flexible and detail-minded while handling multiple priorities, and plans for changes.
  • Sense of urgency, when needed, and follow through on deadlines.
  • Strong PowerPoint, Excel, Word, SharePoint, and Mac or PC software skills are essential, as is proficiency with collaboration tools such as MS Teams.
  • Experience using cloud-based platforms (e.g. Box, Salesforce, NetSuite, Monday, etc.)
