Job Description

T he Position

Payroll Responsibilities - Process payroll and related benefit deposits and reports, deposit funds and submit reports for employee benefits, and maintain employee records and other payroll-related data. Verify and maintain paid time off, overtime, travel pay, per diem, pay increases, deductions, travel days, and project numbers. Tie out benefit deductions to vendor invoices. Develop and implement procedures and policies for all administrative activities. Typically manages recordkeeping, document preparation, mail distribution, reception, equipment maintenance services and technical support, project coordination/scheduling, and other related internal operations. Demonstrate thorough knowledge of functional areas and department processes. Assist with general administrative functions and activities of the office.

 

Staff Accountant – The Staff Accountant will assist the finance department and accounting team in accounts payable, accounts receivable, and human resources functions. Duties may include entry of receipts, invoices, deposits, purchase orders, vehicle records, reconciliation of project data, etc.

 

Essential Job Functions


  • Implement, maintain, process, and review payroll processing systems to ensure timely and accurate processing of payroll transactions including new hires, salaries, benefits, garnishments, taxes, and other deductions

  • Complete new hire onboarding processes

  • Ensure accurate and timely processing of payroll updates including new hires, terminations, changes in pay rates, tax withholdings,  employee transfers, and changes in job classification

  • Prepare and maintain accurate payroll files, records,  forms, and reports of payroll transactions following retention and disposal procedures

  • Research and resolve errors and omissions

  • Ensure proper processing of time worked, taxes, benefits, paid leaves and holidays, deductions and withholding, address changes, and other related information

  • Maintain up-to-date knowledge of legislation affecting payroll and ensure compliance with federal, state, and local payroll wage and hour laws and best practices

  • Assist with inbound and outbound calls and visitors

  • Support contract administration for various departments

  • Provide strategic support and assistance to internal and external customers as needed

  • Perform basic reconciliation and auditing processes during each pay cycle

  • Prepare and submit reports and forms required by the IRS and other regulatory bodies

  • Verify that tax withholding tables and limits are up to date

  • Facilitate audits by providing records and documentation to auditors

  • Respond to pay-related inquiries from staff and respond to employment verifications

  • Adhere to policies and maintain a high degree of confidentiality in all situations

  • Support company finance, accounting, human resources, quality, and regulatory departments as necessary to ensure compliance


  • Champions excellence in all employees

  • Enter deductions in vendor websites, make vendor deposits, set up new hires, copy and scan documents for new hires and personnel files


  • Perform general cost accounting and other related duties for the organization

  • Assist in maintaining the general ledger

  • Provide outside auditors with assistance; gather necessary account information and documents to perform annual audit

  • Maintain knowledge of acceptable accounting practices and procedures

Position Qualifications and Experience


  • Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field preferred; High school diploma, GED, or equivalent required

  • Three to five years of related experience required

  • Extensive knowledge of payroll functions including balancing of accounts, internal controls, and payroll taxes

  • Excellent interpersonal and customer service skills to effectively interact with customers and vendors


  • Build relationships with colleagues, manage conflict, and foster a positive office environment


  • Excellent organizational skills and attention to detail

  • Strong analytical and problem-solving skills


  • Efficiently manages time and deadlines to ensure smooth office operations

  • Proficient in payroll software and Microsoft Office Suite or related software

  • Ability to multitask, prioritize, and maintain an organized office environment

  • Able to identify and resolve issues related to office operations and facilities

  • Compliance and accuracy in documentation, financial transactions, and other administrative tasks

  • Ability to plan and coordinate office projects, such as office moves, events, or functions

  • Comfortable with changing priorities and a dynamic work environment
